Programs and Volunteer Services Director
REPORTS TO: Executive Director
STATUS: Full-time, Non-exempt; 40 hours per week; On-site position
COMPENSATION: $50,000
SUMMARY
This role is highly collaborative and relationship-driven, focused on working with riders and their families while helping grow and shape programs. The position emphasizes recruiting, organizing, and supporting volunteers to ensure smooth daily operations. This role does not include barn work or riding. This is not primarily a teaching role unless the individual holds PATH Intl. CTRI certification. EDUCATION
● Associate’s degree required; Bachelor’s degree preferred
CERTIFICATION, LICENSURE, & REGISTRATION
● PATH Intl. Certified Therapeutic Riding Instructor (CTRI) preferred but not required
● Valid driver’s license recommended
EXPERIENCE
● Experience in equine-assisted services or related field preferred
● Experience in volunteer management and program development strongly preferred
● Previous experience supervising staff or volunteers preferred
KNOWLEDGE, SKILLS, AND ABILITIES
● Strong communication and relationship-building skills
● Ability to manage and motivate volunteers effectively
● Strong organizational and time management skills
● Ability to manage multiple priorities
● Proficiency in Google Workspace preferred
ESSENTIAL DUTIES AND RESPONSIBILITIES
Program Oversight & Development
● Oversee and support all CTRH program activities to ensure quality, safety, and alignment with organizational goals
● Develop and implement new programs to expand services and reach within the community
● Evaluate existing programs and recommend improvements to enhance participant outcomes
● Assist in developing program curriculum and session structures
Staff Supervision
● Supervise and support the Program Coordinator, providing guidance, direction, and performance feedback
● Foster a collaborative and positive team environment
Participant & Family Engagement
● Increase communication with parents, guardians, and participants to ensure a high level of engagement and satisfaction
● Respond to program inquiries in a timely and professional manner
● Support participant recruitment, registration, and retention efforts
● Collaborate with families to understand participant goals and needs
● Organize Annual Horse Show
Volunteer Management & Engagement Scheduling & Coordination
● Oversee volunteer scheduling, cancellations, and substitute coverage for program, barn, office, facility maintenance, and special events
● Assign volunteers based on instructor and participant needs
● Communicate volunteer updates and changes to instructors and staff
Recruitment & Training
● Recruit, onboard, and retain volunteers to support all areas of CTRH
● Collect new volunteer information and register volunteers for orientations
● Provide training materials and support hands-on training for side walkers and horse leaders
● Provide basic training for barn, facility, and office volunteers
Remedial Training & Accountability
● Intervene when necessary to address performance concerns
● Provide remedial training and maintain written documentation of all actions taken
● Manage volunteer dismissals when appropriate
Community Engagement & Partnerships
● Develop partnerships with universities, high schools, community organizations, and local businesses to expand volunteer opportunities
● Represent CTRH in the community to build awareness and engagement
Retention & Recognition
● Develop and implement a volunteer retention plan
● Coordinate volunteer recognition efforts, including events such as an annual banquet
● Conduct volunteer surveys to improve experience and engagement
Volunteer Programs & Events
● Plan and oversee volunteer service days
● Develop and coordinate ongoing volunteer education opportunities
Communication
● Create and distribute a weekly or biweekly volunteer newsletter
● Maintain consistent communication with volunteers to ensure engagement and clarity
Information Management
● Collect, track, and maintain all volunteer records in accordance with PATH Intl. standards
● Maintain database records and ensure accuracy of volunteer information
● Track volunteer hours and provide documentation as needed
● Organize volunteer nametags and assignment boards on a weekly basis
Budget Management
● Develop and manage the annual volunteer budget
Compliance & Safety
● Support adherence to PATH Intl. standards and CTRH policies and procedures
● Help ensure a safe environment for participants, volunteers, and staff
● Maintain appropriate records while ensuring confidentiality
Collaboration & Administration
● Collaborate with the Executive Director on program planning and growth strategies
● Work with staff to ensure adequate volunteer support across programs
● Assist with program reporting and data tracking as needed
● Support marketing efforts, including social media and outreach content
KEY RELATIONSHIPS
● Internal: Executive Director, Program Coordinator, Instructors, Therapists, Staff, Volunteers and Board Members
● External: Participants, Parents/Guardians, Community Partners, Donors
PHYSICAL DEMANDS
● Ability to work outdoors in a barn environment for extended periods
● Ability to stand, walk, and lift up to 25 pounds occasionally
● Frequent communication in person and via phone/email
● Work is performed both outdoors and in an office setting
